POLICIES & CLIENT AGREEMENTS

These policies are intended to improve clarity, informed consent, recordkeeping, and client experience. They are not legal advice, do not guarantee protection from liability, and do not waive rights or liabilities that cannot lawfully be waived. Before publication or client use, the agreements should be reviewed by a New York licensed attorney familiar with consumer-service and fitness-business law.
TERMS & CONDITIONS
Team Sumaiya offers online coaching, improvement-season coaching, competition prep, workout programming, general nutrition and supplement guidance, online and in-person posing, personal training, consultations, and clinics. The exact service, duration, price, inclusions, check-in frequency, payment schedule, expiration date, and commitment are those displayed at checkout and in the applicable order or agreement.
Clients must provide accurate contact, health, booking, and payment information and promptly report material health changes. Recurring plans are billed at the disclosed frequency until cancellation becomes effective under the applicable commitment. Failed payments may result in temporary suspension. Team Sumaiya materials are for the purchasing client’s personal use and may not be copied, redistributed, resold, or used to coach another person without written permission.
Fitness, physique, strength, weight, posing, and competition outcomes depend on many factors outside Team Sumaiya’s control. Team Sumaiya does not guarantee weight change, body-fat percentage, stage weight, appearance, placing, qualification, overall wins, professional status, or any other result. New York law governs to the extent permitted, without limiting nonwaivable consumer rights.
FITNESS & MEDICAL DISCLAIMER
Team Sumaiya provides fitness and bodybuilding education, coaching, workout programming, posing instruction, general nutrition guidance, supplement education, and personal training. Website, social-media, program, email, video, and coaching content is not medical diagnosis, medical treatment, rehabilitation, physical therapy, mental-health treatment, or emergency care.
Team Sumaiya is not acting as a physician or other medical provider. Clients should consult an appropriately qualified healthcare professional about symptoms, medical conditions, pregnancy or postpartum status, injuries, medications, restrictions, eating-disorder concerns, or whether an activity is appropriate. Exercise may involve soreness, strains, sprains, joint injury, falls, dizziness, fainting, overuse injury, aggravation of existing conditions, and, rarely, serious injury. Team Sumaiya may pause services or request medical clearance when a safety concern reasonably arises.
NUTRITION & SUPPLEMENT DISCLAIMER
Team Sumaiya provides fitness and bodybuilding nutrition coaching and general educational guidance, not medical nutrition therapy. Team Sumaiya is not acting as a physician, registered dietitian, certified dietitian-nutritionist, pharmacist, or medical provider and does not diagnose, treat, cure, prevent, or medically manage disease.
Supplement guidance is educational. Supplements may cause side effects, vary in quality, or interact with medications, other supplements, medical conditions, pregnancy, or breastfeeding. Clients must disclose relevant conditions, allergies, medications, and supplements and should consult a physician or pharmacist when appropriate. Medical advice from a qualified healthcare professional takes priority. Athletes remain responsible for federation, sport, and anti-doping rules.
REFUND, CANCELLATION & RESCHEDULING POLICY
Improvement Season Coaching is $275 per month with a three-month minimum commitment, then month-to-month. After the minimum, 30 days’ written notice is required to cancel. Competition Prep Coaching is $350 per month, and Elite Competition Prep is $450 per month; each requires at least 16 weeks or coaching through the scheduled competition, whichever is longer. Payments already processed for active coaching periods are non-refundable except where required by law or approved by Team Sumaiya. Missing check-ins, travel, vacations, non-participation, failure to follow the plan, or withdrawal from a competition does not pause, extend, or automatically terminate coaching and does not create account credit. Early cancellation does not automatically release the client from the remaining minimum commitment. Team Sumaiya may approve a written exception for documented medical circumstances, pregnancy, relocation, or serious hardship.
Included monthly services expire within that coaching month. Improvement Season includes one 30-minute Mindset & Strategy Session per month. Competition Prep includes two. Elite Competition Prep includes two Mindset & Strategy Sessions and two 30-minute virtual posing sessions per month. Included sessions do not roll over, have no cash value, and are non-transferable. At least 24 hours’ notice is required to reschedule; a late cancellation or no-show forfeits the session unless Team Sumaiya approves an exception. Any post-show support is limited to what is specifically stated in the coaching order.
For virtual posing, a single 30-minute session is $75 and expires 30 days after purchase; three sessions are $210 and expire 90 days from the activation date selected at checkout; six sessions are $390 and expire six months from the activation date selected at checkout. For in-person posing, a single 60-minute session is $150 and expires 30 days after purchase; three sessions are $420 and expire 90 days from the activation date selected at checkout; five sessions are $675 and expire five months from the activation date selected at checkout. For personal training, a single 60-minute session, when offered, is $150 and expires 30 days after purchase; four sessions are $560 and expire 60 days from the activation date selected at checkout; eight-session and twelve-session packages expire 120 days and six months, respectively, from the activation date selected at checkout. The activation date for every package must be within 14 days of purchase. All included package sessions must be scheduled and completed before the expiration date shown in the client’s Team Sumaiya account.
Posing and personal-training packages are non-refundable and non-transferable except where required by law. Unused sessions expire at the end of the stated period and do not roll over or convert to cash or account credit. Package extensions are not guaranteed. An extension may be considered only when Team Sumaiya cancels a session, experiences an extended availability interruption, or approves an exceptional documented circumstance submitted before the package expires.
For virtual posing, in-person posing, and personal training: 24 or more hours’ notice allows rescheduling without penalty, subject to availability and expiration; less than 24 hours’ notice or a no-show forfeits the session and charges it in full. A late arrival does not extend the scheduled end time. Clinics and special events require at least 48 hours’ notice. With 48 or more hours’ notice, a refund, credit, or transfer may be allowed only under the specific event policy. With less than 48 hours’ notice, registration is non-refundable; a no-show is non-refundable and non-transferable. A one-time exception does not change future policy.
PRIVACY POLICY
Team Sumaiya may collect contact information; booking and transaction information; health-screening answers; injuries, restrictions, medications, allergies, pregnancy or postpartum information; emergency-contact details; fitness goals and history; workouts; performance and nutrition information; body weight and measurements; check-in responses; progress photos and videos; competition details; communications; and device, cookie, and analytics information.
Information may be used to answer inquiries, assess service suitability, deliver and personalize services, process bookings and payments, communicate about scheduling and safety, maintain agreement and business records, protect legal rights, and meet legal, tax, insurance, and accounting obligations. Service providers may include Wix, payment processors, Zoom or other video-conferencing providers, email and storage providers, analytics services, gyms, venues, merchandise providers, accountants, insurers, attorneys, and technical providers.
Payment information is handled by third-party processors; Team Sumaiya generally does not receive a full card number. Sensitive client health information will not be displayed publicly. Reasonable safeguards and limited access should be used. Information is retained only as reasonably necessary for services, records, legal, tax, insurance, or dispute purposes. Clients may ask privacy questions, request correction or deletion subject to lawful retention needs, unsubscribe from marketing, or withdraw optional future media permission through the website contact form or a designated written channel.
MEDIA / PHOTO / VIDEO POLICY
Coaching photos, check-in pictures, videos, testimonials, reviews, screenshots, and communications remain private unless the client separately and voluntarily selects Full Media Consent or Anonymous Media Consent. Media permission is never required to receive a Team Sumaiya service. A client who does not complete the optional release is treated as a Private Client for public-use purposes.
A client may withdraw permission for future use in writing. Team Sumaiya will make reasonable efforts to stop new use and remove material from channels under its direct control. Previously printed, distributed, shared, cached, reposted, or archived material may not always be fully retrievable. Private coaching review is different from public promotional use.
CLIENT AGREEMENTS & INFORMED CONSENT
Required forms are service-specific and recorded separately:
• Improvement Season: Master Coaching Agreement plus Health, Exercise, Nutrition & Supplement Informed Consent.
• Competition Prep and Elite Competition Prep: the same two documents plus the Competition Prep Addendum.
• Online posing: Posing Informed Consent.
• In-person posing: Posing Informed Consent plus a separate hands-on physical-contact selection.
• In-person personal training: Health Screening, Exercise Informed Consent, Personal Training Agreement, and emergency contact.
• Group posing clinic: shorter Clinic Waiver/Informed Consent only.
• Complimentary consultation: basic booking/cancellation and privacy acknowledgments only.
• Media, Photo, Video & Testimonial Release: optional and separate for every service.
Each required acceptance should record the client name, agreement title, version, date and time, and signature or clear checkbox acknowledgment. Clients should receive or be able to retain a copy. Team Sumaiya may contact emergency medical services and the listed emergency contact when reasonably necessary but does not provide medical treatment.
